Requesting Signatures from a Sales Room Folder

Efficient collaboration for approvals

To request signatures from a folder, use the three dots next to the folder name and select Request signatures.

Step-by-step:

  1. Select Signable Documents:

    • Mark any documents requiring signatures as To be signed.

    • Additional files in the folder will be included as attachments.

    • Note: Signable documents must be in PDF format, but attachments can be in any format.

  2. Choose Signers:

    • Select room members (visitors, editors, or owners) or add external signers using their email addresses.

    • Pro Tip: Ensure all signers have visibility in the folder; restricted visibility will block participation.

  3. Customize Invitation Message:

    • Enter a title in Email content subject.

    • Edit the default message to suit your context.

  4. Send Requests:

    • Click Request signatures to finalize and send the signing requests.

 

 

 Tracking Signature Status

 

Pro Tip! Stay updated in real-time!

 

The signing status updates live, showing progress (e.g., “Signed by 1/5”) next to the bundle.

Notifications:

  • Participants and requesters will receive notifications once all signatures are completed.

  • The finalized bundle will be labeled "Signed-[Bundle Name]" and will include:

    • A unique code.

    • Signers’ names, emails, and timestamps.

Independent Signature Requests Without Sales Room

Flexibility for all signing needs

You can also manage signature requests independently outside the sales room.

Step-by-step:

  1. Navigate to the Sign section in the main menu.

  2. Create a new signing bundle.

  3. Add signable documents and attachments.

  4. Send signing requests to participants.

Managing Independent Signature Requests

 

Pro Tip! Voiding cancels the signing process but keeps the documents intact for further adjustments. Fully deleting a bundle removes all included files permanently.

 

Sending Reminders

To remind participants:

  1. Open the bundle.

  2. Click the three dots next to a participant’s name.

  3. Select Send reminder.

Canceling a Signature Bundle

To void an ongoing bundle:

  1. Open the bundle.

  2. Click the three dots.

  3. Choose Void.
